Board Meeting Agenda and Minutes - 06/15/07

Housekeeping (Pete)
- Need historian at each meeting to record minutes and vote tallies - Laura volunteered for this meeting
- Motion to define a quorum as 50% of Board Members present (9 out of 18)
- A quorum is 50% of active board members or at least 6 members
Fundraising - National Team Status (David/Pete)
- We met all goals as a first year ADA National team. Last report from ADA showed 246 riders on 7 teams that raised almost $120,000, which is $20K more than our target. The road trips to Napa and LA were very popular - people are already asking about next year.
- Our efforts now need to turn to the MS rides. Last year we raised over $200,000; our target was half of that. We need to determine what our target will be this year. Tony wants to see what our goal is before he announces the event goal. No decision made. Last year our target was $125,000.
- We are already a National Team for MS, because we have two bike teams and two walk teams. I'm encouraging the Refinery Team captains to consider riding in an MS event this fall. Wilmington is on board - don't know about the others. LA riders are coming to Texas to ride with us.
- The SoCal MS 150 is the weekend of 10/13. Anyone interested in riding this event? The travel may be too hard a week before our ride.
- The Memphis MS 150 is also an option.
Apparel (Stan/Gwen)
- When do we re-open the Team Store? Mid-August.
- Who will we send the order in to? HotShopped Deisgns or Vomax (very poor padding in shorts). No decision.
Membership Card and Maps (Pete/John)
- You have to be registered member of our web site to download our membership card - this was requested by some of our bike shop sponsors.
- We purged all SAW maps from our site in May. They said we could use their maps, buy put lots of restrlctions on the use.
- John and I looked at Microsoft Mappoint and Streets and Trips - none appear appropriate for our needs.
Training Rides (John/Chuck)
- John has put together a training schedule for the rest of the summer.
- The schedule will include primarily team rides, buy will have options for folks who want to do rides like the Katy Flatland, the Hotter than Hell, and the Pancake Ride.
- 7/21 is a ride that will start and end in Blanco, and will include an afternoon at the State Park for those that want to attend

Results of the survey on using the SAW to provide training to new Velo riders for the BTTB

Motion to encourage Velo new riders to participate in the SAW program this summer, but also conduct our own new rider events to build team unity
Volunteer Councile Cycling Committee (Laura)
- The VVC has a cycling committee. We need to determine our relationship to this committee going forward.
- Cycling committee focuses on organizing volunteer effort for the rides for which Valero is a Title or Presenting sponsor.
- Velo Valero Board focuses on managing the cycling team.
- Need liasion between the two - Laura will perform this role for now.
Budget Items (PJ)
- Budget prepared by PJ and approved by Klesse
- Some techcnical issues surrounding tax and the setup of our VFCU account PJ is working through
- Review of budget and current funds

PJ prepared a first draft of by-laws which she, Peter, and Patrick are reviewing.

We are trying to define Board member selection, roles and responsibilities, succession, relationship with the field teams, etc. We'll submit a draft to the Board for review later this summer.
MS 150 Bike to the Beach (All)

Brainstorm on new ideas for the ride

One team tent or two (one to eat in, one with cots to sleep in) - Two tents approved.

Different tent location - away from the main traffic flow - Approved. We'll do a site visit next week.

Event theme - Luz Hernandez has volunteered to coordinate the Saturday team tent, and has suggested a 50s theme with the slogan "Velo Valero rocks the MS-150". Motion to have one theme for the whole weekend - Friday dinner and Saturday tent, plus logo on team t-shirts. Idea of the 50s theme approved.

Posh potties? With Showers? Right next to our tent?? (what does this cost...) Need to research what this costs. Currently not budgeted.

Different route options, including some real drama at the end. Board voted to support the last leg of the ride as the big bridge over the causeway, and end at WB Stadium. This is as long as there is a rest stop before the bridge, and multiple lanes open for us. We'll recommend this to the MS Society.

Board Membership

Retirement of Stan and Chuck, and movement of Ken to NuStar raises issues regarding board membership

Ken Mayfield officially resigned from the Board this morning. He is the new Captain of the NuStar team, and needs to focus his energy on that. He will continue to do training rides with us. Board agreed that the rules for riding with Velo Valero are buying and wearing our jersey, and raising at least the minimum in our events.
